IERHS Meeting Minutes 5 JUNE 2007.
Meeting began at 7:07 PM.
17 members present.
SECRETARY’S REPORT. The secretary’s report was read, seconded, approved and passed.
TREASURER’S REPORT. The treasurer’s report was read, seconded, approved and passed with one opposing vote due to situation regarding National dues. It was reported the National Dues have not been paid and our group has been disenfranchised. A check of treasurer’s checking account shows the dues being paid and the check has been cashed. For items off budget, Gene requested $200 for electrical parts for electricity at the Reardan site, and $100 for magneto parts. Motion was made to pay Gene $300 for electrical and magneto parts. Seconded, approved and passed.
EQUIPMENT STAUS REPORT. GMC Truck No. 1 is parked by the F-9 unit. GMC Truck No. 2. Gene has found 2 recaps and needs 2 more. He is still looking. The D-8 is running again, though the clutch needs adjusting. Bill suggested not operating the dozer until the clutch is adjusted. The roller still needs replacing. The Case backhoe is running. It needed a new wire, as the old one was causing a short.
TURNTABLE STATUS. Bill sent a letter to Mr. Larson. The tracks have been removed and it will be more difficult to get out. Lee has made a nice hole at Reardan to accept the turntable.
STATUS OF 286 K FLATCARS AT PASCO. Gene has not contacted the interested party yet.
ACIVITY REPORTS. REARDAN MULE DAYS REPORT. There was a good crowd. John ran 6 trains and we made $120 more than last year.
NEXT SWAP MEET LOCATION. The next swap meet is in Missoula in September. It is the last weekend of the fair. It is probably a good location to sell the last of the Montana Daylight items. Our swap meet is in October.
OPEN HOUSE ACTIVITY AT FAIRGROUNDS. Fairgrounds contract is in our hands. They require a 2 hr. janitorial charge, 5 hrs. of security, at $15 per hr., and picnic tables are $9.50 each. The model groups will be there. We need to borrow some tables, and we need electricity for operation of some of the vendors. A question was raised if we could get into the steam and gas buffs building for access to electricity. A motion was made to approve the signing of the contract. The motion was seconded, approved and passed. The cost will be just over $100 for cleanup, bathrooms, and security to the fairgrounds. Mike will submit a bill as needed. There are flyers that are going out, the Spokesman Review has been out, and Dale did a great job in the Sidetrack. Members should wear their brown shirts while working at the open house. Frank Franks had to cancel due to the high cost of insurance. Bill has made up some awesome signs for us to use. We will need all the help we can get. Congratulations to the Mike and Donna team for all of their organization.
COMMITTEE REPORTS. FAIRBOARD STATUS. The lease is due. Dolly will be leaving in July.
REARDAN REPORT. The foot ball team did a great job of moving ballast, planks and cleaning up. Bill will contact Dale and send a "Thank You" letter.
TRACK PLACEMENT AT REARDAN. We are getting closer as the new contracts are in place now. We are waiting for the final agreement.
NEW BUSINESS. We need to be cautious about our expenses. We still have the Hite Crane bill out there for moving the boxcars. Canfield and Associates declined to renew our insurance policy. Our other insurance policy is in order. We need to make copies for the fairgrounds. There was a hand painted saw by Helen Winter that was donated to us for display. We may want to use her artwork as an outlet for her to sell items to the public. It could make a little money for Helen and us as well.
