Minutes IERHS Meeting May 3, 2005

18 Members present. The meeting was called to order at 1851 hrs.

INTRODUCTION OF MEMBERS AND GUESTS : Pam Kelly from the Reardan Public Development Authority gave a presentation to the group. She can write grants for us and wants to help keep the public from loosing interest in the society. She asked numerous questions regarding out future plans, money requests and stated she could get newspaper exposure. She wants to view our rolling stock and inventory. She will work to see if she can get some historic preservation groups interested in our society. She is planning on returning to our next meeting.

SECRETARY'S REPORT : Secretary's report was read, seconded, approved and passed with no corrections. It was noted that minutes are also listed in the SideTrack as well as on the web site.

TREASURER'S REPORT : Treasurer's report was read, seconded, approved and passed. Art demonstrated the signs that we are required to have on the 2-foot gauge cars as well as the state inspection sticker for the first car. Jerry is busy keeping current information on the computer of

the Reardan Bank accounts.

CORRESPONDENCE : A letter has been sent to Old Country Buffet to reserve the room for the 9 January, 2006 annual meeting. Bill has made a request for property tax exemption to Lincoln County, however at this time, the Lincoln County auditor replied that we are still a taxable

organization. He has also requested the Lincoln County commissioners to adopt us as a franchise. Other correspondence included a copy of the streetcar insurance, and a letter from Avista requesting power requirements.

EQUIPMENT STATUS REPORT : It was noted that we need $400 to move the backhoe to Odessa and we still owe $96 for the straps that were needed to move the boxcar. A motion was made to pay Schoonover Farms Inc. $496.00 to pay for the straps and to have them move the backhoe. The motion was approved, seconded and passed. The GMC truck is now changed over to a 12-volt system. It now needs a hydrovac for the brake system. The estimated cost is $325. The backhoe tire has been repaired. It has been estimated that it will take about 6 weeks to get the backhoe repaired.

EQUIPMENT STATUS REPORT : ROLLING STOCK - There is no new information at this time. It was noted the first switch is bolted together. We need ties, and manpower for driving spikes. There may be a possibility of using school children or Boy Scouts to drive spikes.

ACTIVITY REPORT : TRAIN SWAPS - Art and Jerry passed out fliers for upcoming shows. They sold some Rocky Mountain Rail Tour posters at Eugene and Helena swap meets. October 16 is the next show in Spokane. Mike sold some calendars and Cal will go to a garden show in May and pass out some information.

ACTIVITY REPORT : FAIRGROUNDS - The weeds were sprayed and Bill will send a letter off to Wilbur Ellis for a 501C3 write off and appreciation. The herbicide was donated to the society as a test plot area this year.

COMMITTEE REPORTS: REARDAN REPORTS - Reardan Mule Days will only have one day on the street. We need to call Lee Vincent to locate the Boy Scout train and we need to do something in the parade on June 4. The Davenport Pioneer Days are in July and we need to think about participating. Bill has a trailer that he will donate to use in parades and to attach signs to. We are waiting for Warren to finish his own work. He is asking for $50 per hour plus diesel and hauling costs to finish the leveling for the P.R&C.C. switch. A motion to contract out

to Warren for help with the PR.&CC was approved, seconded and passed.

Lee has track plan drawings that he wants to shrink down to 8.5x11for easier distribution.

HISTORIAN REPORT : There is no new information at this time.

MONEY RAISING : TRIBES - Nothing from the tribes at this time. Bill will send another letter and will enclose 501C3 information this time.

MONEY RAISING : BANKS - There is no new information at this time.

MONEY RAISING : OTHER - There is a possibility of a $25,000 planning grant that could cost as much as $6,000 to process.

There may also be a planning grant to operate the Ag Tour train to Coulee City.

The Avista Grant is put together to assist in our power requirement needs.

Mike picked up a check for $750 from the Palouse Empire Railway Society.

We received $300 in donations from SideTrack flyers when it was last sent out.

OLD BUSINESS : WATCO - Bill will write to check on equipment that may be available to us or for sale.

NEW BUSINESS : Washington State Dept of Transportation - No new information at this time.

NEW BUSINESS : ANNUAL MEETING - Richard Green is a possibility for a speaker. Wayne will contact Ken Martin for a possible comedy act. Cliff Carl is also a possibility for entertainment.

MISSION STATEMENT. Lee made some changes and additions to the statements. A motion was made to adopt the changes. The motion was approved, seconded and passed.
